Shipping & Delivery Policy

Summary:Samples ship by international courier within 3–7 business days with tracking. Commercial orders ship by sea or air per the agreed Incoterms®, with documents provided per the agreed payment terms. Import duties at the destination are the buyer’s responsibility unless agreed otherwise.
1. Scope
This policy explains how EcoPoly Impex LLP ("EcoPoly", "we", "us") ships product samples and commercial export orders. Where a written quotation, proforma invoice, or sales contract states different shipping terms for a transaction, those terms prevail.
2. Where We Ship
We ship worldwide, subject to the import regulations of the destination country. The buyer is responsible for confirming that the ordered products may lawfully be imported into the destination country and for obtaining any import licences or permits required.
3. Samples
• Samples are dispatched by international courier (e.g. DHL, Aramex) within 3–7 business days of confirmation (and receipt of the sample fee, where applicable).
• A courier tracking number (AWB) is shared by email and on the buyer portal once the shipment is booked.
• Typical courier transit time is 4–10 business days depending on destination, customs clearance, and courier schedules.
4. Commercial Orders
• Commercial orders are shipped by sea or air freight from Indian ports (typically Chennai / Tuticorin) as agreed per order.
• Dispatch timelines are stated in the quotation or proforma invoice (typically 2–6 weeks from order confirmation, depending on product, quantity, and season) and are estimates, not guarantees.
• Responsibility for freight, insurance, and risk transfer follows the Incoterms® agreed for the order (e.g. FOB — buyer arranges main carriage; CIF — we arrange freight and insurance to the destination port).
• Shipping documents (invoice, packing list, bill of lading / air waybill, certificate of origin, and any agreed certificates) are provided per the agreed payment terms — e.g. against payment or through banking channels for L/C or documentary collections.
5. Tracking
For courier shipments we share the carrier tracking number. For sea/air freight we share the bill of lading / air waybill details and vessel or flight information. Buyers with a portal account can follow shipment milestones on the buyer portal.
6. Customs, Duties & Taxes
Export clearance from India is handled by us. Import duties, taxes, customs clearance charges, and any inspection fees at the destination are the buyer's responsibility unless the agreed Incoterms® state otherwise (e.g. DDP).
7. Delays
Delivery estimates may be affected by production schedules, vessel/flight availability, port congestion, customs processing, weather, or other events beyond our reasonable control. We will keep you informed of any material delay, but such delays do not by themselves entitle the buyer to cancel a confirmed order or claim damages.
8. Damage or Loss in Transit
Risk in the goods transfers per the agreed Incoterms®. If a shipment arrives damaged or short, note it on the delivery receipt where possible and notify us in writing within 7 days of delivery with photographs and supporting documents so we can assist with the carrier or insurance claim. For CIF/CIP shipments, marine insurance claims are handled with the insurer named in the policy.
